Booking Terms & Conditions

These terms apply to safaris booked through okavangodeltacamps.com with Betty's Travel Agency T/A Lelobu Safaris, Plot 303, Boseja, Maun, Botswana ("we", "us"). Please read them before confirming a booking. Your consultant will ask you to sign a copy with your booking.

1. Quotations

  • A quote is only valid once we've sent it to you in writing.

  • Prices can change until your booking is confirmed, because of exchange rates, fuel costs, taxes, park fees or supplier increases outside our control.

  • Accommodation is subject to availability at the time of booking.

  • Unless your quote says otherwise, it excludes international flights, airport charges, visas and anything not listed as included.

  • Flights, transfers and activities are quoted per seat, shared with other guests. Private charters and transfers are available at extra cost. Flight times are set by the air operator and confirmed the day before travel.

2. Flights, luggage and travelling in the bush

  • Luggage: 20 kg per person in total, including hand luggage and camera gear. We recommend 15 kg main bag and 5 kg hand luggage. Soft bags only, with no wheels or hard frames, and a maximum size of 25 cm wide × 30 cm high × 62 cm long. Extra luggage must be arranged in advance and costs extra.

  • Guests over 100 kg: please tell us when you ask for a quote. An extra seat may be needed on light aircraft for safety.

  • Aircraft: light aircraft carry 3 to 12 passengers and may not have air-conditioning or sound-proofing.

  • Road transfers: these are in open safari vehicles, often through wildlife areas.

  • Power and signal: many camps have limited or no electricity, and little or no cell signal.

  • Connections: allow at least 2–3 hours between regional or international flights.

3. Children

  • Tell us the ages and dates of birth of all travellers under 21 when you request a quote. Not every camp accepts children, and child rates depend on age at the time of travel.

4. Booking and deposit

  • When you're happy with your quote, complete and sign our Client Information Form. Every name must match the traveller's passport exactly, because airlines charge to reissue tickets.

  • We'll send you an invoice for the full safari price.

  • Provisional bookings are held for up to 7 days. To confirm, a non-refundable deposit of 20% of the total price is due, unless stated otherwise. Without it, the booking lapses.

  • Your booking is confirmed once we've received the deposit and confirmed it to you in writing.

5. Payment

  • The balance is due 65 days before your safari starts.

  • If you book within 65 days of travel, the full amount is due when you receive our invoice.

  • If full payment isn't received on time, we may cancel the booking and cancellation fees will apply.

  • Please cover all bank charges, so the full invoice amount reaches us. Email proof of payment, quoting your invoice number, to your consultant.

  • Travel vouchers are issued once full payment has cleared.

Our banking details only ever appear on your official Lelobu Safaris invoice. We will never change banking details by email. If you receive a message asking you to pay into a different account, call us on +267 76664150 before paying.

6. Cancellations

  • Cancellations must be made in writing and take effect once we acknowledge them. Your 20% deposit is non-refundable. Fees are a percentage of the total safari price:

  • A cancellation fee of 30% of the total Tour price shall be payable to the Company in the event that a booking is cancelled 70 days or more prior to the commencement of the Tour.

  • A cancellation fee of 50% of the total Tour price shall be payable to the Company in the event that a booking is cancelled 69- 61 days prior to commencement of the Tour.

  • A cancellation fee of 100% of the total Tour price shall be payable to the Company in the event that a booking is cancelled 60 days or less prior to the commencement of the Tour.

  • Should a Client fail to arrive, the Company will be entitled to treat the booking as cancelled and 100% of the Tour price as a cancellation fee will apply.

  • Suppliers' own cancellation fees may apply on top of these.

  • Postponing your dates counts as a cancellation, and the same fees apply.

  • Changing dates: we'll try to move your booking to other dates if space allows. An admin fee and supplier fees may apply. If we can't find new dates, the cancellation fees above apply.

  • Cancellation by us: we may cancel a booking without a refund if a guest has or is reasonably suspected of having a contagious illness, behaves illegally or dangerously, or puts other people or property at risk.

7. Travel insurance (compulsory)

Comprehensive travel insurance is a condition of booking. It must cover:

  • cancellation and curtailment

  • medical and hospital costs

  • emergency evacuation and repatriation

  • personal accident

  • loss or theft of luggage and belongings

It must run for the whole trip. If you travel without it, we may cancel your booking and the cancellation fees apply. Any medical, evacuation or repatriation costs your insurance doesn't cover are your responsibility.

8. Health

  • You confirm you're fit to take part in the safari. Please tell us about any pre-existing medical conditions before travel.

  • Carry enough prescription medication for the trip plus a week, in your hand luggage.

  • Parts of northern Botswana are malaria areas. Speak to your doctor about precautions and any vaccinations you need.

  • Tell us before booking if you need powered medical equipment, such as a CPAP machine. Some camps have limited electricity, and we'll need to plan around it.

9. Passports and visas

Your passport, visas, vaccination certificates and insurance are your responsibility. Passports should be valid for the whole trip and have at least three blank pages. Check visa requirements with your embassy well in advance, since some visas take up to three months. Visa costs are not included in our price.

10. Suppliers

Camps, airlines and transfer companies are independent suppliers, and their own terms also apply to your booking. We'll send you a copy on request. We choose suppliers carefully, but we're not liable for their acts, errors or omissions.

11. Changes to your itinerary

We'll always try to keep to your booked itinerary. Sometimes we may have to change or cancel parts of it because of events outside our control, such as:

  • weather or flooding

  • unsafe airstrips

  • camp closures

  • illness outbreaks

  • strikes or government action

These changes don't entitle you to compensation. Any extra costs, such as extra nights, meals or flights, are your responsibility.

12. Risk and liability

Safaris take place in unfenced wilderness with wild animals, and carry real risks. You accept these risks, and you'll follow the instructions of guides and camp staff. You may be asked to sign an indemnity at camps.

  • To the extent the law allows, we're not liable for:

  • injury, illness, death, loss, damage, delay or expense arising from your safari

  • charges a hotel or supplier puts on your card directly

  • errors on our website or in brochures

13. Law and disputes

These terms are governed by the laws of Botswana, and disputes are subject to the courts of Botswana. Any arbitration will be confidential.

14. General

  • These terms, with your signed booking documents, are the full agreement between us. Any changes will be provided to you in writing.

  • If any clause is found invalid, the rest still applies.

  • Neither of us is liable for failures caused by events beyond our control (force majeure).
